Volunteer signup form

The two questions a rota actually needs: what would you do, and when are you free. Answered as tick lists rather than free text, so the replies sort themselves instead of arriving as forty different sentences.

This is the actual form the template creates, shown as your respondents would see it.

Volunteer signup

Tell us what you would like to help with and when you are free.

We send the rota here.

For anything urgent on the day.

Pick as many as you like.

Experience, preferences, or something you would rather not do.

Who it is for

Anyone building a rota out of people who are doing it for free.

  • Associations running a festival, fair or tournament
  • Schools and parent committees organising an event
  • Clubs with a bar, canteen or ticket desk to staff

What is in the form

Ten fields covering the whole rota question.

  • Name, date of birth, email and phone
  • Which tasks they would take on, as a tick list
  • When they are free, split across weekdays and the weekend
  • Roughly how long they can stay
  • Whether they have a driving licence
  • A free-text field for experience or preferences
  • A required privacy consent

Features it uses

Tick lists instead of free text

Tasks and availability are fixed choices, so you can group and count the replies rather than read them one by one.

Straight into a spreadsheet

Sync to Google Sheets or Excel Online and build the rota where you already work. Needs Pro or Business.

Consent and retention

Volunteers agree to how their details are used, and the answers are deleted after the period you set.

Making it yours

  1. 1

    Copy it into your workspace

The task and availability lists arrive filled with common examples.

  2. 2

    Replace the tasks

Swap the examples for the jobs you actually need done, and the slots you actually run.

  3. 3

    Publish and ask around

Share the link in your newsletter and group chats.

Common questions

Can I limit how many volunteers per task?
Yes. Turn on limits for the task field and give each option a number of places, with a counter showing how many are left.
Can I ask for a parent's permission for younger helpers?
Add a consent field and make it conditional on the date of birth question, or run a separate form for under-eighteens.
